Terms of Use

These Terms of Use explain the basic rules that apply to visitors, members, authors, reviewers, organizers and administrators using the AntAbstract platform. By using the platform, you are deemed to have accepted these terms.

1. Introduction

AntAbstract is a digital platform designed to support registration, abstract submission, peer review, payment, document and certificate processes for congresses, symposiums, workshops and similar academic events.

These Terms of Use apply to all users who visit the AntAbstract website, create an account, register for a congress, submit an abstract, participate as a reviewer, make a payment or use the management panels.

2. Scope of Services

Services that may be offered through AntAbstract include:

  • Publishing congress and event pages.
  • User account creation and login processes.
  • Author, reviewer, organizer and admin panels.
  • Congress registration and participation workflows.
  • Abstract, full-text and file submission processes.
  • Reviewer assignment and scientific evaluation processes.
  • Payment, billing and payment history processes.
  • Acceptance letters, badges, participation documents and certificate generation.
  • Abstract books, congress programs and announcement processes.

The scope of services may vary depending on the preferences of the congress organizer and the modules enabled in the system.

3. User Account and Security

Some features of AntAbstract may require creating a user account. Users are responsible for providing accurate, current and personal information when creating an account.

  • You are responsible for the accuracy of your account information.
  • You must keep your password confidential and not share it with third parties.
  • You may be responsible for actions performed through your account.
  • If you notice unauthorized use, you should contact the platform administrators.
  • Creating accounts with false, misleading or third-party information is not allowed.
For your security, use a strong password, do not share your account credentials and log out after using shared devices.

4. User Roles

User permissions on the platform may vary depending on the role assigned to the user.

Visitor May view congress pages, general information and legal pages.
Author May register for congresses, submit abstracts and follow submission statuses.
Reviewer May evaluate assigned submissions and complete review forms.
Organizer May manage congress-related registration, submission, reviewer and content processes.
Admin May perform general platform management operations.

5. Congress Registration

Users may register for congresses by selecting one of the registration types offered on the relevant congress page. Congress registration conditions, fees, deadlines and participation rules may be determined by the congress organizer.

  • Congress registrations may be specific to the selected congress.
  • Registration type, participation type and fee information may vary by congress.
  • Registrations made with incorrect or incomplete information may be reviewed by the organizer.
  • Submission or payment processes after registration may vary depending on the congress workflow.

AntAbstract supports the technical execution of registration conditions determined by congress organizers. Congress content, scientific programs, registration rules and participation conditions may be the responsibility of the relevant organizer.

6. Abstract, Submission and File Upload

Users may submit abstracts or papers for congresses for which they are registered. Users are responsible for the accuracy of submission titles, abstract texts, keywords, author information, presentation type and uploaded files.

  • The submitted academic content must belong to the user or the necessary permissions must have been obtained.
  • Plagiarism, fabricated data, misleading information or unauthorized content sharing is prohibited.
  • Author information must be accurate and up to date.
  • If co-author information is entered, it is assumed that the necessary knowledge and consent of those persons exists.
  • File uploads must comply with the format and size limits set by the system.
  • Submissions that do not comply with congress formatting rules may be rejected by the organizer or scientific committee.

Accepted submissions may be used in congress programs, abstract books, acceptance letters, participation documents or academic publication processes.

7. Peer Review and Scientific Evaluation

Reviewers are responsible for evaluating assigned submissions objectively, in accordance with academic ethics and confidentiality principles.

  • Reviewers should only access submissions assigned to them.
  • Review comments and recommendations must be kept confidential.
  • If there is a conflict of interest, the organizer or authorized person should be notified.
  • Review evaluations should be scientific and constructive.
  • Submission files should not be shared with unauthorized persons.

Final decisions such as acceptance, rejection, revision or presentation type may be made by the scientific committee, editors or authorized congress organization team.

8. Payment, Billing and Refund Processes

Payment may be required for congress participation or certain services. Payment amount, currency, payment timing, billing information and refund conditions may be determined by the relevant congress organizer.

  • The payment screen may be opened after registration or after submission acceptance depending on the congress workflow.
  • Payment transactions may be carried out through third-party payment providers.
  • Billing information must be entered accurately by the user.
  • Refund and cancellation conditions are subject to the rules determined by the congress organizer.
  • After payment is completed, payment history and related records may be displayed in the system.
In the live system, refund policy, cancellation conditions, payment provider details and billing processes should be clarified according to the actual organization rules.

9. Documents, Certificates and Acceptance Letters

Acceptance letters, badges, participation documents, reviewer certificates or other certificates may be generated through the platform.

  • Document types and eligibility conditions may vary by congress.
  • Acceptance letters are generally generated after a submission is accepted.
  • Participation certificates may become available after participation requirements are met.
  • Reviewer certificates may become available after the relevant review task is completed.
  • Information on documents is prepared based on user records in the system.

Users should contact the organizer or system administrator to correct document errors caused by incorrect or incomplete information.

10. Content Responsibility and Intellectual Rights

Users are responsible for the accuracy and legality of submissions, abstracts, files, profile information, review comments or any other content uploaded to the platform.

  • The user confirms that uploaded content belongs to them or that they have the necessary permissions.
  • Academic works, images, files or texts belonging to others must not be uploaded without authorization.
  • Plagiarism, false authorship, misleading institutional information or inaccurate academic statements are not allowed.
  • Accepted submissions may be used in congress programs, abstract books and academic announcements.

AntAbstract may not be responsible for academically verifying user-generated content. Scientific review and acceptance processes are carried out by the relevant congress scientific committees.

11. Prohibited Use

The platform must not be used for the following purposes:

  • Performing illegal activities.
  • Attempting unauthorized access to another user's account.
  • Uploading harmful software, code, files or links.
  • Creating spam, fake registrations or misleading applications.
  • Sharing another person's personal data without authorization.
  • Violating reviewer or scientific evaluation confidentiality.
  • Disrupting platform security, performance or availability.
  • Submitting plagiarized content, false academic information or misleading author information.

If such use is detected, the user account may be suspended, the relevant submission may be rejected or the situation may be reported to authorized institutions.

12. Service Availability and Technical Responsibility

AntAbstract aims to take reasonable technical measures to keep the platform secure and available. However, temporary interruptions may occur due to maintenance, updates, infrastructure issues, third-party service interruptions or force majeure events.

  • Planned maintenance may be carried out.
  • Third-party payment, email, hosting or security services may experience interruptions.
  • User-side internet connection, device or browser settings may cause issues.
  • Some features may be temporarily unavailable until technical issues are resolved.

The platform aims to provide the best possible service, but uninterrupted and error-free operation is not guaranteed.
